Finance and Accounting Manager 

Location: Lisbon

Type: Full-time 

You are the financial backbone of Vibrancy. You manage our entire accounting cycle, ensure compliant bookkeeping, handle invoicing and payment flows, and provide the management team with clear, reliable numbers for fast decisions. Your work is essential for transparency, stability, and sustainable growth.

YOUR TASKS

Finance & Accounting

  • Manage the full accounting cycle including accounts payable, accounts receivable, general ledger, and bank reconciliations.

  • Prepare monthly, quarterly, and yearly financial statements and balance sheets according to HGB (or applicable local standards).

  • Coordinate with external tax advisors, payroll providers, and financial authorities in DE & PT.

  • Monitor invoices, prepare payments, reconcile accounts, and ensure timely processing of all financial transactions.

  • Handle VAT topics (Germany & Portugal), including correct VAT coding, cross-border invoicing, and monthly/quarterly submissions.


Billing & Project Controlling

  • Create client invoices (retainers, projects, production costs).

  • Prepare budgets, cost estimates, and project forecasts in collaboration with the PM team.

  • Review supplier invoices for accuracy, contract alignment, and budget compliance.

  • Manage PO structures, splits, VAT differences, and internal cost allocations.

  • Monitor MOCO time tracking and prepare monthly billing reports.


Financial Reporting & Analysis

  • Prepare monthly management reports including P&L, cashflow, and financial forecasts.

  • Oversee cost development across clients, vendors, and internal operations.

  • Support the annual financial audit and handle all required documentation.

  • Conduct cost analyses, margin checks, and profitability evaluations.


Compliance & Administration

  • Ensure compliance with German and Portuguese accounting and tax regulations.

  • Manage financial documentation, insurance files, subscriptions, and recurring costs.

  • Maintain internal financial structures, folders, and reporting processes.

  • Prepare documents for payroll, HR updates, and government submissions.

YOUR PROFILE

  • Completed commercial education or a university degree in Accounting, Finance, or Business Administration.

  • Ideally: further qualification such as Certified Accountant / Accountant.

  • Several years of experience in accounting, preferably in an agency or international SME.

  • Strong knowledge of accounting principles, VAT rules, and financial compliance (optional in DE a strong plus).

  • Proficient in accounting tools (Datev, Lexoffice, or similar) and comfortable with Google Workspace & Excel (pivot tables, formulas, forecasting).

  • Very organized, reliable, detail-oriented, and able to work independently.

  • Strong communication skills and confidence working with management, suppliers, and tax advisors.

  • Fluent in English and Portuguese (German is a bonus).
